Fairer Practice Tracker

Terms and conditions

Last updated: 14 October 2026

1. About these terms

These terms cover your use of the Fairer Practice Tracker (the “Tracker”). By creating an account or using the Tracker, you agree to them. If you do not agree, please do not use it.

The Tracker is provided by Dr Dominic Patterson (“we”, “us”). It is an independent companion to the RCGP Fairer Practice Toolkit and is not an RCGP website.

How we handle your personal data is explained in our Privacy policy, which forms part of these terms.

2. Who can use the Tracker

The Tracker is for people aged 18 or over who work in or with UK general practice, using it in their professional role. That includes practice teams, Primary Care Networks, Integrated Care Boards and their equivalents in each of the four nations.

3. Your account

  • Give accurate details when you sign up, and keep them up to date.
  • Keep your password to yourself, and do not use it anywhere else.
  • Tell us straight away if you think someone else has used your account.
  • You are responsible for what is done with your account.
  • One account per person. Do not share accounts.

4. Your practice on the Tracker

  • Joining a practice. You join your practice using its join code. Anyone with the code can join and see the practice's notes and files, so share it only with colleagues. If it gets out, contact us for a new one.
  • Shared records. Progress, notes and files belong to the practice, not to the person who entered them. Everyone in the practice can see and update them, and the activity log shows who did what.
  • Linked organisations. Your practice may be linked to its Primary Care Network (PCN), Integrated Care Board (ICB) or equivalent, which can then see its progress. What each can see is set out in the Privacy policy.
  • Registering a practice. Only register a practice you work for. We may remove or merge duplicate or incorrect practice records.

5. Things you must not do

Do not enter patient-identifiable information in notes, file names or files. That means names, NHS numbers, dates of birth, addresses, or clinical details that could identify someone. This is the most important rule, and breaking it can lead to your account being suspended immediately.

Also do not:

  • use the Tracker for anything unlawful
  • try to get into other people's accounts or practices, or parts of the Tracker you have not been given access to
  • upload viruses or harmful files
  • try to disrupt, overload, copy or reverse-engineer the Tracker
  • upload anything defamatory, offensive or discriminatory, or anything you do not have the right to share
  • pretend to be someone else
  • collect other users' details
  • use the Tracker in a way that could harm its reputation, or that of the RCGP or the NHS

6. Content

Yours. You (or your practice) keep ownership of the notes and files you add. You allow us to store them and show them to the people described in the Privacy policy, and to use anonymised totals drawn from them for reporting and improving the Tracker. You confirm you have the right to upload what you upload.

Resource suggestions. If you suggest a resource and we accept it, it is published on the Tracker for everyone to see. Your name is not shown with it.

The Toolkit's. The actions, guidance, structure and design of the Fairer Practice Toolkit, as shown in the Tracker, belong to the RCGP. Please do not copy or republish them without the RCGP's permission.

7. Availability

The Tracker is free and is provided “as is”. We work to keep it running and your data safe, including with daily backups, but we cannot promise that it will always be available, error-free, or that data will never be lost. Please keep your own copy of anything you could not do without.

We may carry out maintenance, change features or pause the Tracker, and will give notice of planned work where we can.

The Tracker is not clinical advice. It is a tool for organising and recording your practice's work. Clinical and professional decisions remain yours.

8. Liability

As far as the law allows, neither Dr Dominic Patterson nor the RCGP is liable for:

  • loss of data, income, profit or opportunity
  • indirect or consequential loss
  • loss arising from using, or being unable to use, the Tracker
  • interruptions, errors, security incidents, or problems caused by our technology providers

Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot legally be limited.

9. Ending your use

You can delete your account at any time. Use the contact form and we will do it. Your practice's records stay with the practice, with your name removed.

We may suspend or close an account without notice if these terms are broken (especially the rule on patient information), if it is needed to protect the Tracker or its users, or if the law requires it. We may also close the Tracker altogether; if we do, we will give users reasonable notice and a chance to download their practice's records where we can.

10. Changes to these terms

When we change these terms we will update the date at the top, and email active users about significant changes. If you keep using the Tracker afterwards, the new terms apply. If you do not agree with them, stop using it and ask us to delete your account.

11. General

  • These terms, with the Privacy policy, are the whole agreement between you and us about the Tracker.
  • If any part of them is found to be unenforceable, the rest still applies.
  • If we do not enforce a term straight away, we can still enforce it later.
  • Nothing in them creates a partnership, employment or agency relationship.
  • Only you and we can enforce these terms, except that the RCGP can rely on section 8.

12. Law and disputes

These terms are governed by the law of England and Wales. Any dispute will be dealt with by the courts of the part of the UK where you live. Please contact us first so we can try to sort out any problem informally.

13. Contact
